Freelance Event Manager

Position Description:

We are looking for a motivated and driven individual with excellent event organizing skills to join Reshaping Work as a freelance event manager. The task entails organization of Reshaping Work Conference, taking place on October 23 & 24 in Amsterdam (1.5 day event) with approximately 200 attendees. The theme of the event is: AI at Work.

The position starts on March 1st for a duration of 8 months.

The ideal candidate is based in Benelux and preferably in the Netherlands. Fluency in English is a must, while proficiency in Dutch is a plus. The estimated amount of time commitment is 12-16 hours per week, on average.

We are looking for someone that can take a lead and is comfortable with orchestrating a multi-disciplinary team, with the purpose of meeting clear project objectives. We are looking for a creative professional that can bring new ideas on board and help us make the event a success. You will have a chance to work with some of the leading tech companies and major public institutions.

Responsibilities:

  • Conference Organization: Oversee logistics, program coordination with academic teams, contracting, and budgeting.
  • Venue and Accommodations: Manage set up of the venue, contracts, and accommodations, including off-site dinner locations.
  • Event Extras: Coordinate off-site dinner, entertainment, and manage photography and videography.
  • Planning and Administration: Lead planning meetings, manage speaker logistics, oversee registration, and maintain the event website.
  • Marketing and Promotion: Collaborate on marketing plans, social media promotion, and advertising.
  • Post-event Duties: Manage post-event activities including thank you notes and contract finalizations.
  • Team Management: Supervise and delegate tasks to the team.

 Who We Are Looking For:

  • Motivated individual with a minimum of 3 years experience in event management
  • Strong organizational skills and ability to lead a multidisciplinary team
  • Excellent communication skills in English; Dutch proficiency is a plus
  • Based in Benelux, preferably the Netherlands
  • Available for 8 months starting March 1st
  • Creative, with a passion for future of work topics

Working Conditions:

  • Freelance position with flexible scheduling
